3 Signs You're in the Messy Middle of Your Coaching Business (& Why Consistent $5K Months Feel Out of Reach)
What Is the Messy Middle in a Coaching Business?
The messy middle is the stage between being a brand new coach and running a thriving, predictable business.
You are not a beginner - you’ve signed some real clients, you know who you help, and you’ve been building your wellness coaching business typically anywhere from 3 months to 3 years. But consistent $5K months still feel out of reach.
It is the stage where you are doing everything right on paper and still wondering why it is not clicking.
The messy middle does not feel like being stuck.
It feels like being busy. It feels like working. It feels like you are this close, and if you just tweak one more thing - your niche, your offer, your Instagram bio, your content strategy - something will finally land.
But nothing lands. And the months keep passing.
Here is what is actually going on - and 3 very specific signs that tell you exactly where you are.
The 3 Signs You're in the Messy Middle of Your Coaching Business
You haven’t yet hit consistent $5k Months; Your revenue typically swings between $500 and $2,500 every month with no predictable pattern
You have signed clients but could not explain exactly how you got them
You have pivoted your niche, offer, or messaging at least twice in the last 90 days
Each sign points to the same root issue: you do not yet have a repeatable way to turn interest into clients. Keep reading - because each 1 is telling you something specific about what is actually missing.
Before we dive in, know that you are not bad at business.
And you are probably not in the wrong niche.
You are just in the messy middle - and once you understand what is actually causing it, everything starts to make a lot more sense.
And you can release any shame or embarrassment that you may be feeling about not being further along by now…at least that’s what my experience was when I went through the messy middle.
Sign #1: Your Revenue Swings Between $500 and $2,500 Every Month and You Never Know What's Coming
It’s the first of the month and you are doing mental math before your feet hit the floor.
Last month you made $2,200. The month before that, $650. Before that, $1,900. No pattern. No predictability. Just a number that shows up and tells you whether you are relieved or quietly panicking.
You are posting content 3-5x/week. Sending email newsletters. Showing up in Facebook groups, responding to DMs, spending hours inside Canva. Doing all the things coaches are told to do to grow their business.
But when it comes to knowing where your next client is coming from? Complete mystery.
Some months a past colleague reaches out because they have been following you and they are finally ready. Some months someone from your email list pops into your DMs out of nowhere. Some months there’s silence and you spend the last 2 weeks of the month wondering if you should lower your prices, post more, or try a different platform entirely.
This is not a consistency problem. Not a mindset problem. Almost definitely not a niche problem.
This is what it feels like when there is no structured pathway connecting your content and conversations to a repeatable client result. Every month starts from scratch because nothing is designed to move someone through a clear sequence from "I follow this coach" to "I want to work with her" to "I just paid the invoice."
What this sign is telling you: Inconsistent revenue is a systems problem, not a hustle problem.
The goal is not to work harder so more happy accidents happen.
It is to build a client-getting pathway so that interested people move through a deliberate sequence - and $5K months happen because of structure, not luck.
Sign #2: You Have Signed Clients - But You Couldn't Explain Exactly How You Got Them
This one is sneaky because it feels like proof that things are working.
And it is…sort of.
You have signed clients. Real ones who paid you real money. That is genuinely not nothing.
But here’s the question that reveals whether you are in the messy middle:
If someone asked you to walk them through exactly how you got your last 3 clients, step-by-step, specific enough to teach someone else...could you?
What did they see first? What made them reach out? What did you say in the first conversation? What got them to yes?
Most messy middle coaches go quiet there. Because the honest answer is: 2 came from a friend referral, 1 from a comment left in a Facebook group 4 months ago, and 1 just appeared in their DMs ready to go.
Real clients. But also flukes (not because you do not deserve them), because there was no deliberate system behind any of it. No pathway they moved through.
They found their way to you in ways you cannot recreate on command. (This is actually what's known as the familiarity gap - and it is 1 of the most common reasons great coaches stay stuck.)
And that means you cannot reliably hit $5K months.
Because consistent $5K months require bringing in 2, 3, sometimes 4 clients a month with some predictability - not waiting to see who shows up.
What this sign is telling you: Proof of concept without a repeatable process is just a lucky month. What you need is a clear sequence for how someone goes from discovering you to paying you - 1 you can run again and again, on purpose.
Sign #3: You Have Pivoted Your Niche, Offer, or Messaging at Least Twice in the Last 90 Days
Raise your hand if this sounds familiar:
You launched as a general wellness coach. Then you niched down to stress management for busy moms. Then something about gut health crossed your feed and you started wondering if that was a better direction.
Meanwhile your Instagram bio has been rewritten at least 3 times, your signature offer has had multiple names and 2 different price points, and you have done at least 1 complete structural overhaul - all in the last 6 months.
Every pivot felt logical. Every rebrand felt like the thing that would finally make it click.
But a few weeks in, results were still inconsistent. And the cycle started over.
Here is what is actually happening: when there is no clear pathway from interest to client, everything looks like it could be the problem.
Your niche looks suspicious. Your offer feels misaligned. Your messaging feels unclear.
You end up treating the symptom - low conversion - and mistaking it for a strategy problem.
You cannot fix a systems problem by changing your niche. You just end up with a different niche and the same missing infrastructure underneath it.
What this sign is telling you:
You do not need a better strategy. You need 1 strategy with a clear, repeatable path through it. The coaches hitting consistent $5K months are not the ones who found the perfect niche on the first try. They are the ones who stopped rebuilding long enough to create their complete offer pathway, continue promoting, watch what happened, and optimize from real data.
The Root Issue Underneath All 3 Signs
This is not a “you” problem. It is a pathway problem.
The wellness coaches hitting consistent $5K months are not more talented than you or better at social media than you.
What they have that you do not yet have is a structured, repeatable way to move someone from "interested" to "I want to work with you" to "here is my payment" - and the ability to run that sequence intentionally, every single month.
They can trace exactly how a client found them, what made that person raise her hand, what the first conversation looked like, and what got her to yes. And then they can do it again and again.
A consistent $5K month as a wellness coach typically means 2 - 4 clients at mid-range pricing (roughly $1,200 to $2,500 per client), or a combination of a mini-offer, courses, and digital product revenue.
The specific math depends on your offer suite. But every version of a consistent $5K month has 1 thing in common: knowing how to bring in those clients by design, not by accident, every single month.
That is what a repeatable client-getting pathway gives you.
What Moving Through the Messy Middle Actually Looks Like
Moving through the messy middle is not a single lightbulb moment.
It is 3 specific shifts in how you operate - and when all 3 are in place, the business starts to feel completely different.
You stop asking "what should I post?" and start asking "where does this lead?"
Every piece of content, every email, every conversation moves specific people toward a specific next step. It becomes part of a deliberate sequence instead of a collection of isolated posts you hope will land.
You can trace exactly how a client found you, warmed up to you, and said yes - and you can repeat it. When you can map your last 4 clients and see an actual pattern - where they came from, what they consumed, how the conversation went, what got them to yes - you have proof of a pathway. Now you can run it intentionally for the next person.
You make decisions from data and rhythm, not from panic. Instead of wondering "should I create a new offer?" every slow month, you have enough information to know what is working. You know exactly which part of the process to look at when things slow down. And you stop starting from scratch every month.
This is what consistent $5K months are built on. Not a massive audience. Not perfect content. A pathway that works because you actually built it, tested it, and keep running
Here Is What Happens When You Actually Build the Pathway
If you read this and thought "okay yes, this is exactly where I am" - that recognition is the first real step.
The next 1 is understanding what building the pathway actually looks like in practice because it is not another course, another content strategy, or added more offers.
It is implementation.
Sitting down with your specific offer, your specific audience, and your specific business, and building the sequence that moves people from interested to paid, on purpose, every month.

Frequently Asked Questions About the Messy Middle in Your Wellness Coaching Business
What is the messy middle in a coaching business?
The messy middle is the stage wellness coaches hit after signing their first clients but before reaching consistent $5K months.
It typically shows up somewhere between 3 months and 3 years into building a wellness coaching business, right when coaches expect things to be clicking, and right when the gap between effort and income feels the most personal.
It is almost always caused by a pathway gap, not a skill gap. Learn more about why most coaches never make $5K a month - and how to fix it →
What is the difference between being a beginner coach and being in the messy middle?
A beginner coach is still figuring out their niche, creating their first offer, and landing their very first paying clients.
A messy middle coach has already done that. They have signed clients and know who they help. The challenge has shifted from "how do I start?" to "how do I make this consistent and predictable?" - and that requires a completely different approach.

Why do wellness coaches get stuck in the messy middle?
The most common reason is building all the business activities (e.g., content, social media, offer guides and bonuses) without a clear pathway for converting that activity into clients.
Effort goes up, but without a deliberate sequence moving someone from "I just found this coach" to "I just paid her invoice," results stay random. Most coaches try to fix this by pivoting their strategy when the real fix is building the infrastructure underneath it. What does a consistent $5K month actually look like for a wellness coach?
For most wellness coaches, a consistent $5K month means 2-4clients at mid-range pricing (roughly $1,200 to $2,500 per client), or a combination of lower-ticket clients, mini-offers, and digital product revenue.
The math varies by offer suite. But every version has 1 thing in common: predictability - knowing what your client-getting strategy looks like at the start of the month and having a system for filling it, rather than waiting to see what happens…and then continually rinsing and repeating it.
How do I know if I am ready to move past the messy middle?
If you have signed at least 3 clients, have a solid sense of who you help and what you offer, and are doing consistent work but still starting from scratch every month, you are ready. The next step is not more content or a bigger audience. It is building a structured pathway for turning the interest you already have into consistent income. Here is where to start →
Is the messy middle normal for wellness coaches?
Completely normal and incredibly common. I would dare to say that every single Coach goes through this stage of business.
Most coaches who leave the industry do so during the messy middle (not because they were not talented or cut out for it) because they didn’t know what was actually missing or how to fix it.
Understanding that the messy middle is a specific, solvable stage rather than a sign you are doing it wrong is usually the first thing that changes everything.
Can you grow a coaching business to $5K months without social media?
Yes! And this matters because most messy middle coaches have been taught that more content, more visibility, and a bigger social media presence are the answer.
But consistent $5K months come from having a repeatable client-getting pathway...“just post more” advice.
Because followers do not automatically turn into clients.
A clear pathway is what turns interest into actual income.
Social media can support that pathway, sure. But it should not be the foundation holding your entire business together.
